This Privacy Policy explains how Round Zero ("we", "us", or "our") collects, uses, and protects information when you use our Service at joinroundzero.com.

1. Information We Collect

Account information: When you sign up via Clerk, we receive your email address and a unique user identifier. We do not store passwords. Authentication is managed by Clerk.

Content you provide: Resumes (uploaded files and parsed text), job descriptions, cover letters, interview transcripts, and any text you enter into the platform. This content is stored to provide the Service and build your coaching memory.

Usage data: Feature usage counts (for free-tier limits), interview session metadata (timestamps, session duration, scores), and application tracker entries.

Payment data: We do not store card numbers or payment credentials. Checkout is handled by Paddle. We receive transaction records (amount, product purchased, order ID) for access management.

Voice recordings: Live voice interview sessions are transcribed in real time. Audio may be temporarily buffered for transcription and is not stored after the session unless you explicitly save a recording.

WhatsApp: If you connect WhatsApp, we store your WhatsApp phone number, the date you agreed to receive messages, your message preferences (daily practice question, scorecards, and the hour you chose), and the messages you exchange with us there. Your messages are saved to your coaching conversation history, just as if you had typed them in the app. Voice notes you send are transcribed and the audio is not stored.

Technical data: Server logs including IP addresses, browser type, and request timestamps. These are retained for up to 90 days for security and debugging.

2. How We Use Your Information

To provide and improve the Service (interview practice, resume tailoring, coaching memory);
To manage your account, subscription, and purchases;
To send transactional emails (purchase receipts, account notifications);
If you connect WhatsApp, to answer your messages there and send the updates you chose. You can reply STOP to pause reminders, or disconnect in Settings at any time;
To monitor and maintain the security and integrity of the Service;
To comply with legal obligations.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3. AI Processing

To deliver AI features, your content (resume text, job descriptions, interview transcripts, and messages to your coach, including on WhatsApp) is sent to our AI language model provider, DeepSeek, for processing. DeepSeek's handling of this data is governed by its API terms, and its servers may be located outside your country, including in China.

Search and memory features create embeddings (numeric representations of text) using Google Gemini. Google's use of this data is governed by its paid API terms, which do not permit Google to use it to train its models.

4. Third-Party Services

Clerk - authentication and session management;
Paddle - payment processing;
Neon - managed Postgres database hosting;
LiveKit - real-time WebRTC infrastructure for voice sessions;
Deepgram - speech-to-text transcription, including WhatsApp voice notes;
DeepSeek - AI language model processing;
Google Cloud - embedding APIs (Gemini);
Meta (WhatsApp Business Platform) - delivers messages if you connect WhatsApp. Meta's handling of WhatsApp messages is governed by WhatsApp's own terms and privacy policy;
Resend - email delivery;
Cal.com - scheduling for human coaching sessions;
PostHog - product analytics;
Sentry - error monitoring;
Langfuse - monitoring the quality of AI responses, which may include the content of those conversations.

Each provider processes only the data necessary for their function and is bound by their own privacy policies.

5. Data Retention

We retain your account data and content for as long as your account is active. Disconnecting WhatsApp in Settings deletes your stored WhatsApp number and preferences immediately; conversation history stays with your account until you delete it. You may request deletion of your account and associated data at any time by emailing privacy@joinroundzero.com. Deletion is completed within 30 days, except where data must be retained for legal or accounting obligations.

6. Security

We use industry-standard measures including TLS encryption in transit, encrypted database storage, and access controls. No system is perfectly secure; promptly report any suspected security issues to privacy@joinroundzero.com.

7. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, or delete your personal data, or to object to or restrict certain processing. To exercise these rights, email privacy@joinroundzero.com. We will respond within 30 days.

8. Children

The Service is not directed to children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it promptly.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or an in-app notice. Continued use of the Service after changes take effect constitutes acceptance.
